Ask any IP professional why they have stayed with a renewal provider they are not fully satisfied with, and the answer is rarely complicated. Switching feels difficult and the data migration sounds painful. The risk of something going wrong during the transition feels greater than the frustration of staying put. The goal of any renewal partnership should be a team that stays because the service is genuinely good, not because leaving feels harder than tolerating something that stopped working a long time ago.

The perception of switching as inherently risky is one of the most effective retention mechanisms an underperforming provider has. It requires no active effort on their part. It simply exists in the minds of the teams they serve, quietly doing the work of keeping clients locked in long after the service has stopped being good enough. With this article we aim to dismantle that perception, not by dismissing the concerns behind it, but by shining a light, examining them clearly and showing what a well-managed transition actually looks like.

## **The fears are real, but the conclusions are not**

When IP teams think about switching providers, the fears that surface are specific and legitimate. They range from missed deadlines during the handover and portfolio data that does not transfer cleanly, to gap periods where rights sit unattended between two systems and the internal liability of having championed a change that went wrong. These are grounded in real operational risk, and any provider worth switching to will acknowledge that rather than brush past it.

The critical distinction, though, is that these are risks associated with a poorly managed transition, not with switching itself. A transition managed without structure, without data verification, and without continuous deadline coverage is genuinely risky. A transition managed properly is methodical, documented, and in the best possible sense, uneventful. The fear of switching is almost always a fear of the worst-case version of it, and the worst-case version is what happens when a provider has not built their process around preventing it.

## **What staying is actually costing you**

Before examining what a good transition looks like, it is worth being honest about the cost of staying. The problems tend to be wide-ranging, from providers that send retroactive invoices and create monthly budget uncertainty, to reporting that requires a request and a wait and leaves the team making portfolio decisions on incomplete information. Add to that renewal cycles managed without automated deadline tracking, where human error carries more weight than it should, and the picture becomes clear.

The risk of switching accumulates slowly, normalized over time until poor service simply becomes the cost of doing business. Teams stop questioning the late invoices and accept the reporting delays. They build manual workarounds for gaps the platform should be closing automatically. None of that is inevitable, and none of it is the safe option it feels like. The consequences are just diffuse enough to absorb quietly, while the alternative feels concentrated and visible.

## **What a well-managed transition actually looks like**

A renewal provider who has built their process around transition understands something important: the moment a client agrees to switch is not the moment to start figuring out how to make it work. It is the moment to execute a process that has already been designed and refined through repeated execution.

That process begins before a single piece of data moves. The new provider audits the existing portfolio, cross-references renewal dates against official patent office records, identifies discrepancies, and resolves them before upload, because an error caught at this stage is a correction, while an error that enters the system and gets acted on becomes a risk to the portfolio. From there, a documented transition plan is agreed with clear timelines, named responsibilities, and communication checkpoints at every stage so the IP team always knows exactly what is happening and who is accountable.

Deadline coverage does not pause during the transition. The handover is managed in a controlled sequence that keeps every deadline covered throughout, and the new provider goes live with verified data, a configured platform, and a dedicated contact already in place. The teams that go through this process consistently say the same thing: it was simpler than they expected. The switch they had been putting off for months, sometimes years, took a fraction of the effort they had anticipated.

## **Something to think about**

If switching feels risky, the right question is not whether you can afford to switch. It is whether your current provider has designed a process that makes switching feel safe. A provider with a robust transition process is not threatened by that question. They can walk you through every step, show you how data is handled, explain how deadlines are protected throughout, and tell you exactly what the first 90 days look like because the process exists and has been stress-tested through experience.

A provider without that process will offer reassurances without substance, telling you the transition will be smooth without being able to tell you why and the fear of switching, which they have quietly relied on to retain your business, will continue to do the rest of the work for them.

At Sun IP, we have supported clients with large, complex global portfolios through transitions that looked, from the outside, like they should have been difficult. They were not, because our process is designed specifically to remove the risks that make switching feel daunting. Every portfolio goes through comprehensive data verification against official patent office records before anything goes live. Every client has a dedicated point of contact who owns the transition from first conversation through to go-live. Every deadline is covered throughout the handover, with transparent pricing from day one and full portfolio visibility available from the start, not after everything has settled.

If you have been staying with a provider that is not serving your portfolio well, the switch is simpler than you think. Get in touch with us and we will walk you through exactly what a transition looks like in practice.
