Maintaining IP rights demands financial clarity, strategic foresight, and complete cost control, as unexpected fees and pricing uncertainties can disrupt budgets and decision making. Many IP renewal service providers offer low service fees that, at first glance, seem like the best deal. However, the full scope of IP management costs is far more nuanced than a simple service charge.

Without price certainty and transparency, budgeting for IP renewals becomes unpredictable, and hidden costs can quickly add up. Unexpected charges can strain financial planning and lead to unnecessary stress. For law firms, tech transfer offices, research institutes and companies, managing global IP portfolios, even small, unanticipated costs can compound into significant financial burdens. Knowing exactly what you are paying for upfront ensures better control and the ability to allocate resources efficiently without unexpected surprises. When evaluating a provider, looking at the bigger picture, beyond the service provider’s headline fee, is critical.

## **The hidden costs behind low service fees**

A low service fee may seem attractive, but it rarely tells the full story. In most cases, while the service charge is fixed, the final invoice tells a different tale. For instance, some providers might offer an extremely low service fee, perhaps as little as a few dollars, but apply significant markups elsewhere. Additional costs such as high foreign exchange markups, late fees, country-specific surcharges, and unexpected documentation charges can quickly inflate the total price. What seemed like a cost-saving choice can turn into a hefty, unexpected bill.

We regularly see instances where IP service providers offer ultra-low service fees upfront, only for clients to receive invoices that end up costing a lot more. ## **Locking in fees that add up without adding value**

Beyond avoiding hidden fees, price transparency and certainty are also about ensuring a fair, flexible and stress-free approach for the clients. Many IP renewal service providers require clients to commit to a minimum number of renewals and pay upfront, locking them into rigid, long-term contracts. Even if they don’t reach that number, the clients are still charged, forcing them to pay for services they don’t use. The clients should be able to pay for what they need – not be locked into costly agreements that service the provider more than the client.

## **The problem with retroactive invoices**

Another challenge in the IP industry is retroactive invoicing where providers issue additional charges months after a renewal payment is made.

Why does this happen? IP official offices may increase the official fees, and some providers fail to communicate these adjustments upfront. As a result, after charging an initially “low” service fee, they later return to clients with an unexpected invoice, requesting additional payments. Recently, Sun IP was asked to provide a detailed quote with a breakdown of fees. When comparing our quote with that of another service provider, the official fees in our breakdown appeared much higher, and for a reason. The other provider had used outdated fee rates, failing to account for recent increases. Had the client chosen their services, they would have later been issued with a retroactive invoice to cover the additional fee increase.

For law firms, this creates an extra difficult situation as they are forced to go back to their own clients months later, which damages trust and results in frustration. This is exactly why price certainty and transparency matter.
